This release continues our investment in Permit Management, with AI-assisted extraction of permit requirements and new tools for tracking permits through revisions and renewals. We've also added GPS location capture to Audit & Inspection forms.
Highlights
- AI Permit Extraction: Permit Management now includes AI that reads a permit document and extracts and categorizes compliance requirements automatically, cutting down the time spent manually reading and interpreting permits.
- Permit Revisions & Renewals: Track a permit through every reissue, with a full history of past versions, their requirements, and a log of what changed between them.
- GPS Location Capture: Question Set Designer adds properties for recording where an audit or inspection was completed, and where workflow actions were taken.
AI Permit Extraction
Overview: The Permit Management Module added AI extraction capability to read, extract, and categorize compliance requirements from a Permit.
The problem: Permits are dense legal documents, and pulling out every requirement (section, references, summaries, responsible parties, frequencies, and citations) has historically been a manual, time-consuming process. Missed requirements can also mean the risk of operational shutdowns, fines, and legal exposure.
The benefit: AI Permit Extraction saves hours of reading and understanding complex legal requirements by automatically capturing and categorizing key details that previously had to be entered by hand.
What it does:
- Reads a Permit document and detects each compliance requirement
- Returns Requirement, Type, Summary, Page Number, Citation, Category, Responsible Parties, and Frequency for every requirement found
- Groups extracted requirements into suggested Topics, and lets you regroup them via chat (by activity, by frequency, by unit, or however makes sense for your permit)
- Every result goes through a review step, where items can be edited, reordered, removed, or added before confirming
Permit Revisions and Renewals
Overview: The Permit Management Module now supports tracking permit revisions and renewals, as well as identifying changes between permit versions using AI.
The problem: Permits are subject to amendments, renewals, and updated requirements, and keeping track of what changed from one version to the next, and whether those changes were actually implemented, has been hard to manage in one place.
The benefit: Permit managers now keep a full history of a permit as it's reissued, with a record of what changed and whether the changes were implemented. Previous versions stay accessible along with their Requirements, Topics, Attachments, and Tasks.
Example: A stormwater permit is reissued with new reporting requirements. The manager adds a revision and has the AI detect the changes. She then reviews the changes and updates the Reporting topic with a new reporting task, all without losing the history of the prior version.
What it does:
- Find Changes Using AI: The Add Revision modal captures the new permit document, a summary, and updated effective and expiration dates.
- New Permit Revisions grid: Captures every version of a Permit, including notes for supporting context and an Implemented status to track whether changes between versions have been actioned.
- New Permit Form layout: The Permit form has been redesigned to handle multiple versions of a permit. A new Permit Revisions grid stores each Permit version with its Effective and Expiration Date. Clicking Details expands a version to show the Permit Document & Details, its Topics, Requirements & Tasks, and its Permit Changes log.
GPS Location Capture for Audits & Inspections
Overview: New properties added for tracking GPS location on Audit & Inspection forms.
The problem: Companies often need to verify that the person completing an audit or inspection was actually on site, for external verification requirements or internal accountability.
The benefit: Companies can verify that the person completing an audit or inspection was on site at the time, giving them the location record needed to satisfy external verification requirements.
What it does:
- GPS Location: adds a location field to the form itself, with three options controlling how it's filled in and whether the user can adjust it
- GPS Location in Workflow History: records the location of the person taking a workflow action, configured per workflow step
Wrapping Up
Together, these updates take a meaningful chunk of manual work off permit managers' plates, from reading and re-reading dense permit language to tracking every change across a permit's lifetime, while giving audit and inspection teams a straightforward way to prove where their work actually happened.
