SDS: How to Find, Read, and Manage Safety Data Sheets

Chemicals in your workplace need a safety data sheet (SDS) — a standardized 16-section document that tells workers and emergency responders what a chemical is, what it does, and how to handle it safely. Under OSHA's Hazard Communication Standard (29 CFR 1910.1200), employers must keep an SDS for every hazardous chemical on site and make it readily accessible to employees during every shift. What is an SDS Chemical Document, and Why Does it Matter?
An SDS, safety data sheet, replaced the old Material Safety Data Sheet (MSDS) format when OSHA aligned the Hazard Communication Standard with the Globally Harmonized System of Classification and Labelling of Chemicals (GHS), with full compliance required by June 2015. Every SDS now follows the same 16-section structure, in the same order, regardless of manufacturer or country of origin.
That standardization is the point. Before GHS, an MSDS could look completely different from one supplier to the next. Under the 16-section SDS format, section 4 is always first aid measures and section 8 is always exposure controls and PPE, no matter who manufactured the chemical.
Hazard Communication is not a niche regulation. In OSHA's FY2025 enforcement data, it ranked as the second most frequently cited standard nationwide — 2,546 citations, trailing only fall protection (29 CFR 1926.501). Missing, outdated, or inaccessible SDSs are a recurring driver of those citations.
How do I find the SDS For a Chemical?
Start with the source that's obligated to provide it: chemical manufacturers, importers, and distributors must supply an SDS with the first shipment of any hazardous chemical. Four places to look, in order:
- The supplier or manufacturer's website. Most publish SDS libraries searchable by product name or SKU.
- The distributor you purchased from. Distributors must pass along the SDS they received from the manufacturer — ask your account rep if you can't find it online.
- An SDS management platform or database. If your organization tracks chemical inventory in software, the SDS is usually attached to the chemical record.
- A direct request to the manufacturer. If a chemical arrives without an SDS, HazCom gives you the right to request one, and the manufacturer must provide it "as soon as possible."
Search by product name first, then by CAS number — the unique registry number assigned to a chemical substance — if the product name pulls up nothing or the wrong version. CAS numbers matter because product/chemical names change across regions; the number doesn't.
How Do I Read a Safety Data Sheet?
Every SDS follows the same 16-section order, but you rarely need to read all 16 cover to cover. Here's what each block covers, grouped by what it's used for:
Know what you're handling (Sections 1–3): Identification, hazard classification, and composition — the chemical's name, supplier, GHS hazard categories, signal word (Danger or Warning), and ingredients.
Respond to an incident (Sections 4–6): First aid measures, firefighting measures, and accidental release measures — what to do in the first minutes after exposure, a fire, or a spill.
Handle it day to day (Sections 7–8): Handling and storage, and exposure controls/PPE — how to store the chemical safely and what protective equipment workers need.
Understand the chemistry (Sections 9–11): Physical and chemical properties, stability and reactivity, and toxicological information.
Everything else (Sections 12–16): Ecological information, disposal, transport, regulatory information, and revision date. Sections 12–15 are non-mandatory under OSHA HazCom, though most manufacturers include them for consistency with international shipments.

Where Do Safety Data Sheets Need to Live?
OSHA doesn't just require you to have an SDS — it requires workers to reach it during their shift, in their work area, without jumping through hoops. A binder in a locked office three buildings away doesn't satisfy HazCom, even if every sheet inside it is current. Electronic SDS systems meet the requirement as long as workers can reach them from where they work, with a backup for outages — a power failure or a network drop can't leave a crew without safety information mid-shift.
Retention is more flexible than most teams assume. HazCom sets no fixed retention period for an SDS tied to a chemical you're still using — keep it current while the chemical is on site, and retire it once the chemical is gone. The exception: if an SDS becomes part of a documented employee exposure or medical record, OSHA's recordkeeping standard (1910.1020) requires retaining that record for the length of employment plus 30 years. That's where the "30-year SDS rule" actually comes from — it applies to exposure records, not to every SDS by default.
How Do I Manage SDS Chemicals At Scale?
A handful of chemicals is manageable in a binder. A few hundred, spread across shifts and buildings, is not. The common failure points: SDSs that are current somewhere but outdated at the point of use, chemicals that arrive without a corresponding sheet, and safety teams that only discover a gap during an audit — or an incident investigation.

Compliance note: OSHA's 2024 revision to the Hazard Communication Standard aligns U.S. requirements with the 7th revised edition of GHS and updates labeling and SDS content rules. The May 19, 2026 deadline for manufacturers, importers, and distributors to update SDSs and labels for substances has already passed. The deadline that still matters for most employers is November 20, 2026, when workplace labels, training, and hazard communication programs must be updated for substances (mixture deadlines follow later — November 2027 for suppliers, May 2028 for employers). Chemical-heavy industries feel this most. Manufacturing, oil and gas, and chemical processing facilities often run thousands of SKUs through one site, and a manual SDS process can't keep pace with substitutions and new suppliers.
