EHS Insight 26.14: Introducing the Driver Management Module

Meet Driver Management, EHS Insight's new module for keeping every driver's qualification file complete, current, and audit-ready, so you always know who is road-ready.

Release 26.14 introduces Driver Management, a new module for those who manage fleets and drivers. Driver and fleet managers now have one place to onboard drivers, assign the right DOT qualification requirements automatically, collect and track driver documents and vehicles, and see at a glance who is qualified to drive.

Driver Management: Know Who's Road-Ready

Overview: Driver Management provides one place to manage driver qualifications: each driver's license, the vehicles they operate, and the documents required in their Driver Qualification file.

Benefit: Fewer spreadsheets, fewer surprises. Every driver's status updates automatically, so expired, missing, or disqualified drivers are flagged before they get behind the wheel.

Why Driver Management?

If you run commercial vehicles, you know the Driver Qualification file is one of the first things an auditor asks to see. Keeping it complete means tracking licenses, medical certificates, motor vehicle records, drug and alcohol results, training, and more, for every driver, each with its own renewal date.

For most teams, that tracking lives in spreadsheets, shared drives, and paper folders. Answering simple questions takes real effort:

  • Which drivers are fully qualified today?
  • Whose medical certificate expires next month?
  • What's missing from a new hire's file?
  • Can we hand an auditor a complete file right now?

Driver Management answers all of them from one screen.

What's Included

  • Driver Manager: A single list of every driver with their qualification status and requirement completion percentage, so you can spot and sort who needs attention.
  • Automatic requirement assignment: Requirements are matched to each driver based on their license, the vehicles they're authorized to operate, and the groups they belong to. Admins can tailor the requirement list to fit their organization.
  • Clear qualification status: Each driver is shown as Qualified, Not Qualified, or Disqualified, updated automatically as documents are added or expire.
  • Expiration reminders: Drivers receive email reminders before a document expires, then on a recurring schedule until it's renewed.
  • Two new reports:
    • Driver Document Expiration Log: A fleet-wide view of driver requirements and their status, ideal for finding missing documents and planning upcoming renewals.
    • Driver Qualification Record: One driver's complete qualification file, including upcoming expirations and full history, with a one-click download of all their documents.

A Quick Example

Adam holds a CDL and drives a tanker in interstate commerce. As soon as he's designated as a driver, Driver Management assigns the requirements that apply to him, such as the Annual Review of Driving Record and the Previous 7 Days Hours of Service Statement. When his Medical Examiner's Certificate expires, it's marked Overdue and his status changes to Not Qualified. His manager sees it immediately, and Adam has already received reminder emails ahead of the expiration date.

Wrapping Up

Release 26.14 is about confidence on the road. Driver Management gives fleet and driver managers one audit-ready source of truth for driver qualifications, so you always know who is qualified, what's coming due, and what needs attention, without the spreadsheets.

Driver Management is now available with a new Driver Management license. To add it to your platform, reach out to your account team. As always, thank you for your feedback. It shapes every release.
